Job Description

The Company: A fully independent financial planning business providing straightforward, personal advice to clients across the UK is looking to recruit a Financial Planning Administrator into its Central Leeds site. With a strong focus on long-term client relationships and consistently high standards of service, they are now looking to bring in an experienced Senior IFA Administrator to support their Financial Advisers and wider advice team. This is a role suited to someone who is confident managing their own caseload, enjoys direct client and provider contact and is looking for an opportunity with potential progression towards Paraplanning.

 

  • Office Location: Central Leeds
  • Working Setup: Hybrid – 1-day WFH per week
  • Hours: 35 hours per week – usual hours 9am-5.30pm with a 4pm finish on Fridays

 

Package: £32-35k base DOE + annual performance-related bonus and full company benefits:

The Role: A varied Senior IFA Administration role providing experienced, end-to-end support to Financial Advisers across the full client journey. The successful individual will take ownership of their own caseload, ensuring cases are progressed efficiently, clients are kept updated and all administration is completed accurately. Key accountabilities include:

  • Manage a varied caseload of client administration from initial information gathering through to completion
  • Maintain regular and professional contact with clients by telephone and email
  • Provide proactive progress updates and ensure agreed Service Level Agreements are met
  • Book client appointments and ensure all relevant information and documentation is prepared in advance
  • Maintain accurate and comprehensive client records using Intelliflo
  • Manage the full Letter of Authority process, including issuing authorities, obtaining signatures, liaising with providers and recording information
  • Liaise with providers, platforms and third parties to obtain scheme, policy and plan information
  • Gather valuations and supporting information across pensions, investments, protection and wider financial products
  • Proactively chase clients for outstanding information and documentation
  • Prepare and submit new business applications across pensions and investments, monitoring cases through to completion
  • Support the ongoing client review process, including gathering valuations and preparing supporting documentation
  • Produce straightforward ongoing review reports where no new business or new advice is required
  • Escalate advice-related queries and more complex analysis to the relevant Financial Adviser
  • Process incoming and outgoing correspondence and ensure documentation is accurately scanned and recorded
  • Ensure all administrative work is completed accurately and in line with regulatory, data protection and internal requirements

 

The Person: Ideally 3+ years’ experience within an IFA, Financial Planning or Financial Advice environment is required, alongside demonstrable experience managing end-to-end administration and progressing cases independently. Strong pensions and investments knowledge is important, together with experience dealing directly with clients, providers and third parties. Previous Intelliflo experience would be advantageous.

The successful individual will be highly organised, proactive and confident managing multiple cases and deadlines whilst maintaining excellent attention to detail. This is a good opportunity for an experienced IFA Administrator who is ready to take greater ownership of their workload and client relationships, whilst also having the opportunity to develop towards more technical report writing and Paraplanning work over time. CII qualifications would be advantageous but are not essential, with the business supportive of continued professional development.
